What personal data we collect and why we collect it
Comments
When visitors leave comments on the site we collect the data shown in the comments form, and also the visitor’s IP address and browser user agent string to help spam detection.
A code string is sent via our internal email service when filling out a contact form or one of our questionnaires that connects with our staff email address to send a PDF copy of your details. A PDF copy of this file is also stored on our internal host server using end-to-end encryption and secure access.
An anonymized string created from your email address (also called a hash) may be provided to the Gravatar service to see if you are using it. The Gravatar service privacy policy is available here: https://automattic.com/privacy/. After approval of your comment, your profile picture is visible to the public in the context of your comment.
Media
If you upload images to the website, you should avoid uploading images with embedded location data (EXIF GPS) included. Visitors to the website can download and extract any location data from images on the website.
Contact forms / Cookies
If you leave a comment on our site you may opt-in to saving your name, email address and website in cookies. These are for your convenience so that you do not have to fill in your details again when you leave another comment. These cookies will last for one year.
If you visit our login page, we will set a temporary cookie to determine if your browser accepts cookies. This cookie contains no personal data and is discarded when you close your browser.
When you log in, we will also set up several cookies to save your login information and your screen display choices. Login cookies last for two days, and screen options cookies last for a year. If you select “Remember Me”, your login will persist for two weeks. If you log out of your account, the login cookies will be removed.
If you edit or publish an article, an additional cookie will be saved in your browser. This cookie includes no personal data and simply indicates the post ID of the article you just edited. It expires after 1 day.

When you visit our site or make a booking, our Google Analytics account will collect data around your behaviour on the site (pages visited, time spent) to give us an idea of how our page functionality is preforming. Please note no personal identifiers are collected such as Name, Age, Sex or Gender Identity.
financial details
When you book an appointment, purchase a course or online product or otherwise provide your financial details to make a payment on our site your details are sent through our payment gateway for the means of taking a payment from you. Other than any identifiable details kept for your invoice or payment receipt, your payment information is not stored. Your contact details will be stored in our secure CRM as part of our client database. In the case of recurring payments, these are setup with your financial institutions and any account information is stored in a secure and encrypted CRM database as well as on our secure server within our office.
Who we share your data with
If you request a password reset, your IP address will be included in the reset email. Your financial data may be shared with our secure payment gateway and financial institution for the means of collecting payment or setting up recurring payments only.
How long we retain your data
If you leave a comment, the comment and its metadata are retained indefinitely. This is so we can recognize and approve any follow-up comments automatically instead of holding them in a moderation queue.
For users that register on our website (if any), we also store the personal information they provide in their user profile. All users can see, edit, or delete their personal information at any time (except they cannot change their username). Website administrators can also see and edit that information.
What rights you have over your data
If you have an account on this site, or have left comments, you can request to receive an exported file of the personal data we hold about you, including any data you have provided to us. You can also request that we erase any personal data we hold about you. This does not include any data we are obliged to keep for administrative, legal, or security purposes.
Where we send your data
Visitor comments may be checked through an automated spam detection service. Financial or payment details will be sent through our payment gateway facility as setup through our financial institution. All transactions are encrypted and secure.
Your contact information
Your contact information will be kept in our secure CRM database and is managed by staff of FOCUS only. Filling out or contact or Questionnaire forms creates a record for you within our databases.
Additional information
How we protect your data
All data is encrypted and protected by secure gateways within our CRM. Only FOCUS staff have access to this data and this information shall not be used, passed on, traded or sold to any third parties or affiliates outside of FOCUS staff and for the means of conducting business with FOCUS and its employees.
What data breach procedures we have in place
As well as encryption and security, we have monitoring systems in place to ensure data is backed up to our internal server securely and to check for site health and issues, with reporting conducted monthly to ensure against breaches of information.
Should a breach occur we will endeavour to contact all affected parties within 24 hours of the breach occuring.
